This Policy explains the general approach to cancellations, refunds and billing corrections for SRC AI services. Browsing SRCAI.co, submitting a contact or SRC Launch enquiry, or requesting a newsletter subscription does not create a charge. A paid service must have a quotation, checkout or Service Confirmation stating the actual price, currency, scope and material refund conditions. Mandatory consumer rights are not limited.

1. Service-specific terms#

The Service Confirmation should identify the contracting party, service type, included work, milestones, exclusions, payment schedule, taxes, Provider costs, government fees and any cooling-off or cancellation right. If an approved Service Confirmation conflicts with this general Policy, it controls for that service except where mandatory law provides greater protection.

2. Subscriptions and recurring services#

A future subscription must disclose billing frequency, renewal behavior, how to cancel and when cancellation takes effect before purchase. Unless the confirmation says otherwise or law requires a refund, cancellation normally stops future renewal rather than reversing a period already supplied. SRC AI does not currently present an unconfigured public subscription as available.

3. Digital services and access#

For a digital service, eligibility may depend on whether access, downloadable material, reserved capacity or a meaningful portion of performance has begun. Where law requires express consent before early digital performance affects a cancellation right, that consent must be obtained in the purchase flow. Faulty or materially misdescribed digital services are assessed separately from a change-of-mind request.

4. Consultations#

A consultation may be cancelled or rescheduled under the notice window shown in its confirmation. Work performed to prepare a tailored review and a missed appointment can affect the refundable amount where disclosed and lawful. SRC AI should consider reasonable emergencies and Provider availability rather than promise an automatic outcome.

5. SRC Launch service fees#

SRC Launch fees may cover assessment, coordination, consultation, document preparation or Provider management. Cancellation before work begins may permit a larger refund than cancellation after review, onboarding, checks or filing preparation has started. A formation enquiry alone is free and is not a paid engagement.

6. Government and third-party costs#

Government filing, registry, registered-agent, address, courier, translation, payment-processing, banking, professional and other Provider costs may be paid onward and become non-recoverable. SRC AI may deduct or decline a refund for a cost already irreversibly incurred where the charge was disclosed and law permits. If a Provider returns a cost to SRC AI, the customer’s related refund should be reassessed.

7. Cancellation before work begins#

Request cancellation promptly through the contact route and identify the service reference. If SRC AI has not begun work, reserved non-cancellable capacity or incurred external costs, the service fee will ordinarily be eligible for refund subject to the confirmation and payment charges that law permits SRC AI to retain.

8. Cancellation after performance begins#

Once performance begins, SRC AI may retain a proportionate amount for completed work, committed capacity and non-recoverable costs, subject to mandatory law. The calculation should be explained from the service record. Cancellation does not require SRC AI or a Provider to withdraw a government filing when withdrawal is unavailable or could create a separate obligation.

9. Duplicate payment and billing error#

A verified duplicate charge or payment collected contrary to the accepted price should be corrected. Provide the reference, date, amount and payment method without sending full card data. SRC AI may coordinate with the payment Provider and may ask for limited evidence needed to trace the transaction.

10. Failed or rejected fulfilment#

A Provider or authority rejection does not automatically mean every fee is refundable because assessment, preparation and external costs may already have been supplied. SRC AI will review responsibility, work completed, the stated service outcome, recoverable Provider funds and mandatory law. If failure was caused by SRC AI’s material non-performance, an appropriate re-performance, credit or refund should be considered.

11. Customer error or incomplete documents#

Refunds may be reduced or unavailable where delay or failure results from inaccurate instructions, unlawful purpose, missed deadlines, incomplete documents, failure to cooperate or an independent eligibility decision, provided the relevant responsibility was disclosed and law permits. SRC AI should not retain charges for unperformed work merely by labeling all customer errors non-refundable.

12. Refund method, timing and currency#

Approved refunds are normally returned to the original payment method and in the transaction currency where practicable. Provider and banking processing times are outside SRC AI’s full control. The decision should state the approved amount and expected initiation time; it must not promise a universal arrival date. Exchange-rate movement and external conversion charges may affect the amount received where lawful.

13. Chargebacks and disputes#

Contact SRC AI first so the service and payment records can be reviewed, unless doing so risks a legal deadline or right. Fraudulent chargebacks are prohibited. A good-faith chargeback or statutory remedy is not waived by this Policy. SRC AI may provide the payment Provider with relevant transaction and fulfilment evidence.

14. Configurable commercial fields#

Before selling a service, authorized governance must approve the cancellation notice window, subscription renewal rule, consultation rescheduling rule, any lawful administrative deduction, refund initiation target, currencies, payment Provider and treatment of government and Provider disbursements. Blank commercial decisions must not be replaced with invented public guarantees.

15. Requesting a review#

Questions, notices, complaints and requests may be sent through the SRC AI contact form. Use the category that best matches the request and provide enough information for SRC AI to identify the relevant interaction. Do not send account credentials, payment-card data, identity documents or other sensitive records through a public form. SRC AI may ask for proportionate evidence of identity or authority through an appropriate protected channel before acting on a request.

Include the service or payment reference, requested outcome and concise reason. SRC AI may ask for additional non-sensitive evidence and will communicate the decision through the verified contact method.

16. Pre-contract disclosure and acceptance#

Before a paid service begins, the customer should receive a durable description of price, currency, included work, external costs, commencement trigger, cancellation method and material non-refundable items. Where a consumer cancellation period or express request to begin early applies, the workflow must capture the required choice rather than relying on this general policy alone.

A quotation, payment link or invoice must not silently convert a free enquiry into a paid commitment. Acceptance should be attributable to the customer or authorized representative. If required commercial fields are not configured, SRC AI should not present an estimated refund as guaranteed.

17. Assessment of work completed and committed costs#

When a cancellation arrives after commencement, SRC AI should identify work actually completed, reasonable reserved capacity and external costs already incurred or irrevocably committed. Internal estimates should be supported by the accepted scope and records. The assessment must not charge for work that was never performed or for an avoidable third-party cost created after timely cancellation notice.

Where tasks have independent value, SRC AI may explain completed milestones separately. Where partial work is unusable because SRC AI materially failed to perform, a different remedy may be required. Mandatory rights and the Service Confirmation control over a general allocation method.

18. Provider, registry and government reversals#

Government, registry, courier, registered-agent, address, verification and other Provider fees may be non-refundable after submission or reservation even when the overall objective is not achieved. SRC AI should disclose known treatment before acceptance and pass through a refund or credit actually received for the customer when the governing agreement requires it.

SRC AI cannot promise that an authority or Provider will reverse a fee. It should nevertheless make reasonable supported requests where the service includes that assistance. Exchange movement, bank charges and Provider refund method can cause the returned amount to differ from the original converted amount unless law or an express term requires otherwise.

19. Complaints, evidence and review#

A refund request should identify the service, payment reference, cancellation date, reason and requested resolution. SRC AI may ask for non-sensitive evidence, compare service records and seek Provider confirmation. It should respond with the decision, calculation and expected next step rather than using a generic denial.

A customer may challenge a factual error through the complaint route. Records may be preserved while a refund, chargeback or claim is active. This process does not extend a statutory bank or consumer deadline, and users should obtain independent advice when a deadline or large amount is involved.

20. Commercial configuration and policy change#

Product-specific cancellation windows, administrative charges, subscription renewal, no-show treatment and approved processing targets must be configured in the Service Confirmation before they apply. Blank fields are not permission to invent a rule after purchase. SRC AI should version material commercial changes and apply them prospectively unless the customer agrees or law permits otherwise.

This policy remains a general framework until real paid offerings and jurisdictions are approved. Authorized governance and qualified counsel must reconcile it with checkout language, Provider contracts, accounting treatment and mandatory consumer rules before accepting production payments.

21. Subscriptions, renewals and digital access#

No public subscription service is currently sold. If one is introduced, the offer must state billing period, renewal, trial conversion, cancellation cutoff, access after cancellation and treatment of unused time before acceptance. A subscription must not renew from a newsletter opt-in or free Website account.

For immediately supplied digital access, cancellation rights can depend on territory and express acknowledgement. The future checkout must capture any required request or loss-of-right acknowledgement clearly; this general policy does not assume it.

22. SRC AI error, material failure and equitable review#

If SRC AI charges incorrectly, duplicates a charge or materially fails to provide accepted work, it should investigate and provide correction, re-performance, credit, partial refund or refund as required by the Service Confirmation and law. Non-refundable wording does not excuse SRC AI’s own material breach or a mandatory remedy.

Exceptional hardship or unforeseen circumstances may be reviewed consistently even where no legal refund is required, but an individual accommodation does not create an automatic rule for every customer. The reason and authority should be documented without retaining unnecessary sensitive details.

23. Taxes, receipts and refund records#

A refund may require a credit note, tax adjustment, Provider record or return to the original payment method. SRC AI should provide an appropriate receipt and should not refund to an unrelated account merely on email instruction. Processing estimates begin after required verification and Provider acceptance, not necessarily the first message.

The customer remains responsible for its own accounting and tax treatment. SRC AI should retain proportionate payment and refund evidence for the approved legal period even after other service data is deleted.

24. Consultation scheduling and non-attendance#

If paid consultations are introduced, the booking terms must state rescheduling notice, time zone, late arrival, non-attendance and Provider cancellation before payment. A general Website appointment request does not create a no-show charge. Reasonable accessibility and emergency circumstances should be considered consistently and subject to mandatory rights.

When SRC AI or its Provider cancels, the customer should be offered an appropriate reschedule or refund for the undelivered consultation unless another approved remedy is accepted. Preparation work is chargeable only when disclosed and actually performed.

25. Refund security and fraud prevention#

SRC AI may verify the payer, original method and authority before releasing funds and may pause an inconsistent request to prevent diversion. It should never ask for confidential access credentials. Refund links and changed bank instructions should be independently verified through a known channel.

A verification pause should be proportionate and not used to frustrate a valid refund. Suspected fraud, sanctions or chargeback activity may require Provider review, record preservation and a different lawful timeline.
